How to Sew the Documents for Archival

How many of you know how to sew documents? This is not taught at school, not taught at the institute, only some are faced with such a procedure. Unfortunately, or fortunately, there are no strict standards. Stapling documents is a simple process, but here you need to know some points. It would seem, take a needle and a necks. But it is not uncommon that ready-made and stitched documents are returned for revision. This seemingly easy process requires tremendous attention, assiduity and knowledge of the rules of document circulation. It is necessary and to number, and to sew, and sign, and print to put. And God forbid, if one leaf falls out, you have to start all over again.

On how to sew documents, still written a few guidelines, and the tax can have their own requirements, and the archive organization - their own. The firmware of documents is required in banks (cases are stitched and stored for several years), at enterprises with requirements for the preservation of documents, in state and non-state archives, sometimes in institutions, etc. The reasons why manuals are still manually mounted and sewed are simple: these documents are difficult to replace, they are easy to transport and store.

So, let's talk about how to stitch documents.

To begin with, you need to clean them from paper clips (conventional or from a stapler). It is better to use an anti-stapler to avoid accidental breakthrough of paper. Next, lay out all the sheets in order. After that, reserve yourself with patience and number all the sheets in the upper right corner. This can be done with a pencil or a pen, but a pencil is more preferable. In order of increasing numbered sheets, not documents. Schemes or large-format maps are added together and numbered as one sheet.

Not all documents have a format convenient for the firmware, namely: invoices, invoices, checks or something like that can be small and do not have a wide enough field on the left. In this case, a strip of white paper is glued to the left.

After that, the papers are stacked in order in a stack, aligning it to the left. Here begins the most interesting in the process called "how to stitch documents." A hole or three to five holes are made by an awl or a thick needle. If the stack is large, you will have to show remarkable skill. Punctures should be scheduled, otherwise the whole stack will fizzle. Punctures should be symmetrical and be located strictly vertically. As a rule, use a bank twine or special sewing thread. It can also come in handy kapron, or, at worst, the usual thread, but folded several times. Stitch two or three times and pull out the tails on the central hole, they tie them in a knot. Tails should be at least five centimeters long, it is better to leave more, and at the end of the work they should be cut off. A knot can be poured with glue to make sure you do not untie it.

Further all is simple. A rectangular sheet of paper measuring 7x4 cm is pasted on top of it. This is not standard, you can use any that will close your threads. It is indicated: tucked, numbered and sealed; In figures and in words, the number of sheets; Position, full name and signature of the performer or leader; date. The tails of the threads should look out from behind the edge of the sticker. Place the seal so that it captures a portion of the label and part of the sheet.

The task is done perfectly!
