How to save a PowerPoint presentation - important tips

The presentation of PowerPoint allows in an accessible form to demonstrate the necessary material simultaneously to a large number of people. Even students can create such projects. But how to save the presentation so that it is displayed correctly, and you do not have to blush in front of the audience?

Standard format for saving a presentation

If you click on the "Save" button, the presentation will be saved in PPT or PPTX format . PPT - extension for the version below 2007, PPTX - for the version 2007 and higher. Note that PowerPoint 97-2003 will not open .pptx. How to save the presentation in this case?

If you are not sure which version of MS Office is installed on another PC, save the document in compatibility mode. To do this, click on "File" and select "Save As". From the proposed options we are approached by the "PowerPoint presentation 97-2003". You can download two variants of one project to a removable medium, and you can orientate yourself on which location to start.

Slideshow mode

The above instructions will save the presentation as usual. When you start the file, the slide structure opens. To enable the demonstration, press F5. But how to save a presentation in PowerPoint so that the slide show starts immediately? You need to choose another extension - PPS or PPSX.

Click Save As. In the window that opens, locate the "PowerPoint Demo". If necessary, select version 97-2003. Now, when you start the file, the slideshow starts immediately. To exit from it, press Esc.

There is another way to save a presentation in this mode. On the File menu, click Save and Send. Next, in the "File Types", find the "Change file type". On the right, select "PowerPoint Demo" and click "Save As."

Save as video

If the document format does not matter to you, you can save it as a video. This is especially true for presentations with multimedia files. Video will be recorded "as is", and there will be no problems with playing additional files. And to open the project you need a video player, not PowerPoint. So, how to save a presentation in mp4 format?

Click on "File" and select "Save and Send". In the "File Types", find "Create Video". First, specify the required resolution:

  • For computer monitors (highest);
  • For the Internet and DVD;
  • For portable devices.

Next, you can specify the same time to show all the slides based on their contents. If you want to specify a different time, set it manually. You can also create a speech accompaniment and make notes with a laser pointer. To do this, open the "Use recorded ..." and click "Create a speech accompaniment ...". The presentation opens and you can set the required parameters. Then review the result of the work, and if it suits you, save the video. Be careful: after saving to the file, you can no longer make edits. Video will have to be recorded again.

These are the most common formats for saving a presentation. The choice depends on the task, the target audience, the place and the way of playback. Now consider how to save the presentation in PowerPoint to the USB flash drive, so as not to spoil the result of the work.

Save to external media

How to save a presentation on a USB flash drive from a computer? In general, the process does not differ from downloading any other file to the USB drive. Call the context menu for the presentation and select "Send". In the proposed list, find the name of the flash drive. The file is exported to the media.

Another option is also possible. Highlight the presentation and press the Ctrl + C combination. Then go to the contents of the USB drive and press Ctrl + V. The presentation is copied to an external medium. You can also drag a file from a folder on your computer to an external device. But before you save the presentation on the USB flash drive, make sure that there is enough space on it. If not - delete unnecessary files or open another device. For a typical presentation that does not contain audio and video materials, these actions will be enough.

What to do if no video or music is playing

In the PowerPoint presentation, you can add video and audio files if you want. Thanks to this, users do not need to close the presentation and separately include the video in the right place - it can be run right during the demonstration. However, there are often situations when multimedia is not played on another computer in the presentation. Why is this happening?

The answer is very simple. When we add video or music to the presentation, we do not save the files in the document, but simply point the way to them. So the program understands where to get the file. Therefore, when you show the project on the same computer on which it was created, there will be no problems with the playback of the movie or music. But when we load the presentation onto an external medium, and then open it on another computer, the program does not find the desired file. Then how do you save the presentation to the USB flash drive so that it will be correctly reproduced in the future?

To do this, you need to download to the USB flash drive not only the presentation, but also additional files that you want to insert. And you need to add them not from a folder on your PC, but from a USB drive. If you just download a movie or music to an external medium, but do not change the path to the files in the presentation, the program will not find them. To save to the computer you also need a whole folder - with presentation and multimedia.
